1) Make That Worksheet Look Nice:
To begin, build a spreadsheet in plain text that will serve as your data file. It is critical to properly style the columns and the rows while constructing the spreadsheet for optimal outcomes. When creating your spreadsheet, keep the following tips in mind:
- The top row should have column names such as FirstName, LastName, EmailAddress, Organization, and so on. Columns should not contain space or special characters for optimum performance; instead, use letters and numbers for column heads.
- GMass will auto-detect and utilize at least one column that contains email addresses as the destination address field.
2) In Gmail, link the mail merge Google Sheet.
After the Google Sheet is complete, I must link it to GMass via Gmail. For the sake of this post, we'll skip the installation stages and assume you've already downloaded the GMass Chrome extension from the Chrome online store or Google Workspace Marketplace. Navigate to Gmail and choose the spreadsheet icon beside the "Search mail" input field.
Select your mail merging Google Sheet from the menu bar and connect to it.
You also have the option of filtering by rows, retaining or eliminating identical emails, and refreshing the Google Sheet with the data collected. I've opted to add reporting data to the Google Sheet.
3) Create your mail merge email.
GMass will launch a Compose window for you once you've imported the Google Sheet. The emails from the spreadsheet are combined into a single GMass alias; you may expand to view all of the separate addresses if necessary. Furthermore, GMass conceals the "Send" option in the Compose window to avoid a costly error; if you unintentionally click the regular Gmail "Send" button, the merging would fail and your contact would see stuff like "FirstName" rather than their name.
Click the down arrow next to the GMass button to insert mail merge fields into your email. Select a field from the "Personalize" dropdown menu in the pop-up menu, and GMass will transfer the appropriate customization variable to your clipboard. You may now paste and copy that mail merge field anywhere in your email, such as the subject line and content.

4) Make follow-ups and choose alternative options.
After you've completed writing your email, you may configure any additional capabilities you want to utilize. For half of this experiment, I'm delivering an automatic follow-up email to recipients who don't respond to my initial email. I'm also planning to send the first email on Monday morning.
Set up the automated follow-up procedure by clicking the arrow next to the GMass button, then Auto Follow-up. If there is no response after three days, I will send an email. Instead of sending a fresh email as a follow-up (which I could do using the option "Send custom message in the same thread"), I'll just type a sentence. In this circumstance, that feels more natural to me.
5) Send an email
Click the GMass button when everything seems fine and you're ready to send. Your email will be sent automatically as planned. (If you've booked the project for a later date, you can still make modifications by locating the email in the Gmail Drafts folder and selecting the arrow beside the GMass button).
